Customer Portal

By registering for the Customer Portal, our customers gain access to our software download area, product documentation, and various other resources.

Support Portal (Jira)

Customers who wish to use our online support services in addition to the Customer Portal may register separately for the Support Portal. The Support Portal enables users to create and manage support tickets, view their processing status, and track the chronological progress of ticket handling.

As part of the registration process, we process, in particular, your name, title, customer number, company, email address, telephone number, and the country in which your company is located. In addition, your IP address and the date and time of registration are processed.

Your personal data is processed for the purpose of providing and administering the Customer Portal and the Support Portal, creating and managing user accounts, authenticating users, providing contract-related information and support services, and ensuring the security of our information technology systems.

Where the processing is necessary for registration, the provision of the portals, or the performance of the contractual relationship, it is based on Article 6(1)(b) GDPR. The processing of registration data and log data to ensure the security of our information technology systems is based on our legitimate interests pursuant to Article 6(1)(f) GDPR. Our legitimate interest lies in the secure and reliable operation of our customer and support portals and in protecting them against misuse and unauthorised access.

Registration data is retained for as long as the user account exists. Users may request the deletion of their user account at any time. In addition, a user account will be deleted if the user has not logged into the Customer Portal for a period of one year. Before the account is deleted, the user will be notified by email of the impending deletion. If the user still does not log in after receiving this notification, the user account and the associated registration data will be deleted unless statutory retention obligations or other legitimate grounds require continued storage.

Support tickets processed through the Support Portal, including any personal data contained therein, are generally not deleted when a user account is deleted. They are retained for the duration of the applicable statutory retention periods and are subsequently deleted unless statutory or contractual obligations require further retention.

Log data processed in connection with the registration process, in particular the IP address and the date and time of registration, is processed solely for the purpose of ensuring the security and functionality of our information technology systems. Such data is deleted as soon as it is no longer required for these purposes unless statutory retention obligations apply or continued retention is necessary for the investigation of security incidents or for the establishment, exercise, or defence of legal claims.

Our Support Portals use the technically necessary session cookie JSESSIONID. This cookie stores a session ID that enables different requests from your browser to be assigned to the same session. This allows your device to be recognised while you are using our website. The session cookie is deleted when you log out or close your browser.

Our careers pages provide extensive information about career opportunities within the Beta Systems Group, as well as an overview of current job vacancies and entry opportunities. You also have the option to apply for individual positions.

The careers pages constitute a separate website/platform. The privacy information provided on that website applies to the processing of personal data in connection with your application. It is available there and can also be accessed here.

10. Links to Social Media Platforms

Our website contains links to profiles on social media platforms. These are standard hyperlinks only. No personal data is transmitted to the operators of the respective social media platforms when you visit our website.

Personal data is processed by the respective platform operator only after you actively click on one of these links and are redirected to the relevant platform. From that point onwards, the respective platform operator acts as the controller responsible for the processing of your personal data.

11. International Data Transfers

Where personal data is transferred to recipients in countries outside the European Union (EU) or the European Economic Area (EEA), such transfers are carried out exclusively in accordance with the requirements of Articles 44 et seq. GDPR.

In particular, personal data is transferred on the basis of an adequacy decision adopted by the European Commission pursuant to Article 45 GDPR or on the basis of appropriate safeguards pursuant to Article 46 GDPR, in particular the Standard Contractual Clauses adopted by the European Commission.

Where individual recipients are certified under the EU-U.S. Data Privacy Framework, transfers of personal data to the United States are based on the European Commission's adequacy decision for the EU-U.S. Data Privacy Framework pursuant to Article 45 GDPR.

Personal data may be transferred to and processed by other companies within the Beta Systems Group where this is necessary for handling enquiries, managing relationships with prospects and customers, carrying out group-wide sales, marketing, and customer relationship management activities, or marketing and providing the products and services of the Beta Systems Group.

The legal basis for this processing is our legitimate interests pursuant to Article 6(1)(f) GDPR. Our legitimate interest lies in ensuring the efficient and consistent management of relationships with prospects, customers, and business partners throughout the Beta Systems Group. Where the processing is necessary for the implementation of pre-contractual measures or the performance of a contract, it is also based on Article 6(1)(b) GDPR.
